Privacy policy

When you join a campaign or contact us, we may collect:

• Your name, email address, and optional mobile number
• Your postcode and suburb (used to find your local federal MP)
• Your personal message or customised letter text
• Payment status and transaction references (we do not store full card numbers)
• The date, time, and version of these terms you accepted, for our records
• Support email correspondence you send to us (including replies to our transactional emails)

We do not currently log or store your IP address or browser details in our database. Our hosting provider may keep its own standard server access logs for a short period for security purposes, independent of our application data — this is normal for any hosted web service and not something we can opt out of on your behalf.

We use your information to:

• Print and post physical letters to the politicians you target
• Process payments and send receipts
• Verify you are a real person and prevent abuse
• Operate the public campaign ledger (counts only — not your personal details)
• Respond to support requests and comply with law

We do not sell your personal information. We do not use your data for unrelated advertising, and we do not add you to a marketing list without your separate consent.

We share only what is needed to run the service:

• Stripe — payment processing (name, email, payment details you enter on their checkout page). Stripe is a US-headquartered provider and may process data outside Australia under its own privacy terms.
• PostGrid (or similar mail fulfilment partners) — name, address, and letter content required to print and post mail.
• Resend — transactional email (receipts, confirmations, delivery notices) and inbound reply handling for customer support. Resend may process data outside Australia under its own privacy terms.
• Hosting and database providers — encrypted storage of application data. Depending on our configuration, these providers may store or process data on servers located outside Australia.

Where a processor is located overseas, we take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles, but we cannot guarantee the acts of an overseas recipient in the way Australian Privacy Principle 8 contemplates for guaranteed compliance — see “Your rights” below if you have concerns about a specific disclosure.

Letter content and your name appear on physical mail sent to politicians. That is the core purpose of the service.

We keep participant and letter records for as long as needed to fulfil campaigns, handle refunds or disputes, and meet legal obligations — for example, payment records are generally kept for at least five years to meet Australian tax record-keeping requirements. Support email threads are kept while useful for customer service and dispute resolution. Outside of records we're required to keep, you can ask us to delete data we hold about you.

Contact us at hello@mailyourmp.com.au to request access, correction, or deletion. We aim to respond within 30 days.

Under Australian privacy law you may request access to, or correction of, personal information we hold about you. You may also complain to the Office of the Australian Information Commissioner (OAIC) if you believe we have mishandled your data. If we experience a data breach likely to result in serious harm, we will notify affected individuals and the OAIC in line with the Notifiable Data Breaches scheme.

We use essential cookies for authentication (admin area) and session security. We do not use third-party advertising trackers or analytics cookies. If we add analytics or tracking later, we will update this policy and this section first.
